Most organizations with an absenteeism problem know they have one. Far fewer can say where it is concentrated, whether it is getting better or worse, or what it costs every time a shift runs short.

That isn't for lack of effort. It's because absences arrive in fragments: a voicemail on the call-in line, a text to a supervisor's personal phone, a note on the schedule. Each one is enough to get today's shift covered. None of them adds up to a picture anyone can act on.

Frekyl was built to close that gap. Employees report an absence by text or automated phone call, with no app or login. Every absence is captured as the same structured record, the right manager is told straight away, and managers and HR can review absence by employee, team, shift, reason code and time period. Absenteeism stops being something supervisors feel and becomes something the organization can measure and act on.

In short: you can't fix what you don't measure, and you can't measure what you don't capture. Frekyl handles every step in one automated workflow: it captures every absence the same way, turns those records into reports, surfaces recurring absence, and covers the gaps while you work on the causes.

Absence reporting, measurement and management: three jobs, one chain

  • Absence reporting answers who is out today, and who needs to know?
  • Absence measurement answers how much absence do we have, where is it, and is it changing?
  • Absence management answers what should we do about it?

Most absence processes stop at the first job: someone hears that an employee is out, and that's where the information ends. Frekyl connects all three. The moment an employee reports an absence, Frekyl creates the record, alerts the right manager, adds it to your absence reporting and, with Shift Filling, can start covering the shift. Measurement and management are only as good as the records underneath them, and with Frekyl those records are complete and consistent from day one.

Step 1. Capture: record every absence the same way

Good capture means every absence enters one system, through one process, with the same details every time: who is absent, which shift or dates are affected, the expected return, the reason (chosen from a short list that matches your policy) and when it was reported. If some employees can't or won't use the official route, their absences come in by side doors, late or not at all.

How Frekyl helps

  • One route that works for everyone. Employees text or call a dedicated number. There's no app to download and no login to remember, and the phone route works from a flip phone or a landline.
  • The same questions every time. Guided prompts record the date of absence, expected return and reason, using reason codes configured to match your absence policy.
  • A structured record, not a message. Each absence is stored as the same structured record, so it can be counted, compared and reported on later.

Step 2. Measure: turn absences into rates and patterns

How is absenteeism measured? The most common measure is the absenteeism rate: hours (or shifts) of unplanned absence divided by hours (or shifts) scheduled in the same period, multiplied by 100. For shift-based teams, scheduled shifts make the most practical denominator because they reflect the work that actually needed covering.

The rate is more useful alongside a few other measures: frequency (how many separate absences, since ten one-day absences create far more last-minute coverage work than one ten-day absence), duration, and a breakdown by team, shift and reason.

For context, US full-time wage and salary workers lost 1.7% of their usual hours to absence in 2025: 1.6% in manufacturing and 2.1% in health care and social assistance (US Bureau of Labor Statistics, survey estimates). Treat these as a rough reference, not a target for your own operation.

How Frekyl helps

  • Reports built from your absence records. Because every absence arrives as a structured record, Frekyl's web dashboard can break absence down by employee, team, shift, reason code and time period without anyone re-typing voicemails into a spreadsheet.
  • A timeline you can trust. Every step, from the employee's report to the manager's acknowledgement, is timestamped into one record.
  • Protected leave kept separate. Because reasons are coded consistently, leave that must not count against attendance can be kept out of attendance scoring. In the US, FMLA leave can't be counted under no-fault attendance policies (29 CFR 825.220(c)); check state leave laws and your legal adviser for other protected absences.

Step 3. Understand: see where absence concentrates

Measurement shows where absence is concentrated. It doesn't explain why. A pattern is a prompt for a question: why does one shift carry far more absence than a comparable one? Why does absence rise in certain weeks? Why does a hard-to-cover role call off more often? An individual pattern is a reason for a supportive, documented conversation with HR involved, not a conclusion about the person.

How Frekyl helps

  • Recurring absence shows up in a report, not in hindsight. Managers and HR can see which teams, shifts and reason codes account for the most absence, and how that changes over time.
  • Employees see their own record. When an employee reports an absence, Frekyl shows their year-to-date absence count before they continue, so attendance is visible to the employee as well as the manager.
  • Follow-up questions when you need them. With Forms, you can send structured follow-up questions after an absence and get the answers back as data.

Step 4. Act: fix the causes and cover the gaps

Acting on absenteeism means two things at once. The first is reducing absence: changing schedules or overtime practices where absence clusters, applying the attendance policy consistently, and offering support where health or caring responsibilities are involved. Those decisions belong to your managers and HR. The second is reducing the impact of the absences that still happen, so an absence doesn't turn into a short shift and a supervisor on the phone for an hour.

How Frekyl helps

  • The right manager knows immediately. Managers are notified by SMS, email or in the Frekyl web app, according to routing rules by area, shift and role. Reports that aren't acknowledged within a set time window can escalate automatically.
  • Shortfalls flagged before the shift runs short. Coverage IQ alerts the right people when absence activity reaches the staffing thresholds your organization sets by role, department and facility.
  • Coverage that starts on its own. With Shift Filling, a reported absence can open a callout automatically. Frekyl offers the shift to eligible, qualified employees by text and automated call in seniority or rule-based order, awards it and confirms coverage. If nobody internal can take it, Agency Connect escalates it to your staffing agencies.
  • A record that shows whether it worked. The same reports you used to find a problem show whether a change made a difference.

Can absence management software reduce absenteeism?

Yes, it can help, and it helps most when it gives managers three things they usually lack: visibility (where and when absence happens), consistency (every absence recorded and handled the same way) and speed (the right people know at once, and coverage starts sooner). Frekyl provides all three, from the moment an absence is reported.

The reduction itself comes from what your organization does with that visibility: a schedule changed, a team problem addressed, an employee supported, a policy applied fairly. Without the data, those decisions rely on impressions. With it, you can target the right problem and check whether your changes are working. If a vendor promises a fixed percentage reduction, it's worth asking how it was measured.

Getting started: your first 90 days with Frekyl

  1. Agree a short list of reason codes with HR that matches your attendance policy, keeping protected leave separate. Frekyl is configured to use them.
  2. Route every absence through Frekyl, for every shift and site. Frekyl's Absence Reporting can go live in one day, and it runs on its own, without an HR or workforce management integration. Integrations can be added later.
  3. Set routing rules so each absence reaches the right manager by area, shift and role.
  4. After 30 days, review absence by team, shift and reason code. After 90 days, look for concentrations and trends.
  5. Pick one concentration to work on, agree an action, and decide in advance which measure will show whether it worked.
  6. Review monthly with operations and HR together, because the causes and the consequences sit in different departments.

Frequently asked questions

What is employee absenteeism?

Employee absenteeism is unplanned absence from scheduled work, usually because of illness, injury, or family or personal obligations. Planned, approved time off, such as vacation and holidays, is normally excluded. Most organizations track it as time lost against scheduled hours or shifts, alongside how often absences occur.

How is absenteeism measured?

The usual measure is the absenteeism rate: hours or shifts of unplanned absence divided by hours or shifts scheduled in the same period, multiplied by 100. It's most useful alongside frequency (how many separate absences), duration, and a breakdown by team, shift and reason.

Can absence management software reduce absenteeism?

It can help, by making absence visible, consistent and faster to act on. Frekyl captures every absence the same way, shows where absence concentrates and flags staffing shortfalls sooner. The reduction comes from the actions that information makes possible, such as schedule changes, targeted support or consistent policy application.

How does Frekyl help with absenteeism?

Frekyl captures every absence, reported by text or automated phone call, as a structured record, notifies the right manager by SMS, email or in the web app, and gives managers and HR reports by employee, team, shift, reason code and time period. Coverage IQ flags staffing shortfalls, and Shift Filling can start covering the shift automatically.

Do employees need an app to report an absence with Frekyl?

No. Employees report absences by text or automated phone call to a dedicated number, with no app to download and no login. The phone route works from a flip phone or a landline. Managers and HR use Frekyl's web dashboard.

Should FMLA leave be counted in attendance metrics?

In the US, FMLA-protected leave can't be counted under no-fault attendance policies (29 CFR 825.220(c)). You can still record it for planning and coverage, but keep it separate from attendance scoring, and check state leave laws and your legal adviser for other protected absences. This isn't legal advice.
