Absence Reporting

Every call-off captured the moment it happens

One text or one phone call is the whole employee experience. No app to download, no login to remember. Frekyl captures the reason, shift and dates as a structured record, then notifies the right people by your own routing rules.

Attendance visibility

Better visibility. Fewer repeat absences.

Frekyl gives employees more context around their own attendance while giving managers clearer visibility into recurring absence patterns — helping teams make more informed attendance decisions.

Employees see their own history first

Their year-to-date absence count is shown during the call-off, before they continue. We have seen employees reconsider once they see it.

Managers see the pattern, not just today

Recurring absence surfaces in a report rather than in hindsight, while it can still be a conversation.

Break it down the way you manage

By employee, team, shift, reason code and time period — because absence rarely spreads evenly across an operation.

Before & after

The difference shows up on the calendar

When absence reporting is structured and coverage action starts sooner, the month can look very different.

A month of absenteeism before Frekyl — most days marked gold for below goal, with only four dark slate days at goal

Call-offs are handled reactively, managers learn about staffing gaps late, and too many days fall below goal.

The same month after Frekyl — nearly every day marked dark slate for at goal, with only two gold below-goal days

Absences are reported consistently, routed quickly, and coverage action can begin sooner — helping more days stay at goal.

Fewer below-goal days

More staffing days remain within the operation’s target range.

Faster visibility

Managers know about call-offs sooner instead of piecing them together manually.

One structured workflow

Absence details, routing, acknowledgement and coverage activity stay connected.

How it works

From the first text to a logged record in seconds

1
Employee

Reports the absence

One text or one automated call. No app, no login. Their year-to-date absence count is shown before they continue.

An employee texts in an absence from the floor
2
Manager

Is notified and acknowledges

Routing sends it by area, shift and role. One tap acknowledges and stops the escalation chain.

A supervisor receives the alert and acknowledges it
3
HR

Sees the record and the pattern

Every step timestamped into one record, and every call-off into usable attendance data.

Two ways to report

Text it or call it — same structured record

Adoption is easy because the process is already familiar. Employees simply text or call a dedicated number — no app, no login, no password reset, and no extra training required.

By text

SMS

Texting a number is something every employee already knows how to do — no app to install and nothing to log into. Guided prompts take under a minute and leave a written record on both sides.

IVR

Just as familiar — dial the same number and answer the prompts. Works from a flip phone or a landline, so nobody is left out and nobody needs training.

What gets captured

A complete record, not a message to interpret

Guided prompts mean every absence arrives with the same fields filled in, against your own reason codes — so the record is usable the moment it lands.

Visibility & audit

Every absence, and everything that happened to it

Supervisors see today. HR sees the pattern. Both see the same trail.

How Frekyl compares

How Frekyl compares to common call-off methods

Most methods can eventually capture an absence. Frekyl is designed to make the process easier for employees, more consistent for managers, and more useful for reporting from the moment the call-off happens.

On its own

Absence Reporting can be used entirely on its own

Capture, routing, escalation, acknowledgement, the dashboard and the audit trail all work without any other Frekyl product.

Questions

What operations teams ask us

What is automated absence reporting?

A system that lets employees report absences by automated phone (IVR) or text and instantly notifies managers, replacing manual call-offs and phone trees.

How do employees report an absence with Frekyl?

They call a dedicated line and follow the voice prompts, or send a text and follow the prompts, to log their date of absence, date of return, and reason for their absence.

What if an employee does not have a smartphone?

They report by automated phone call instead. The IVR walks the same prompts as the text flow and produces the same structured record, so a flip phone or a landline is enough.

How fast are managers notified of an absence?

Notifications go out by SMS and email the moment an absence is reported, so managers can make immediate adjustments or start the shift filling callout process straight away — which can also be automated.

What happens if a manager does not acknowledge an absence report?

Frekyl can automatically escalate an unacknowledged report after a set time window, so it never goes unanswered. There is no limit on how many people can be notified — most organizations configure a chain where the direct report is notified immediately and others, such as HR, are brought in if it is not acknowledged.

Can we use our own reason codes?

Yes. Reason codes are configured to match your absence policy rather than a generic list, which is what makes the record usable in your own reporting.

Does Frekyl integrate with HR systems?

Yes. Frekyl runs standalone or syncs with your existing workforce management stack, to keep schedules and audit trails accurate and current.
